How do I create a digital notification?

WRG offers three types of digital notifications: EDI, WDP and CSV. For all submissions, you should use our booking portal.

  • EDI/WDP: Enter only the EDI/WDP reference number.
  • Other shipments: Fill in the CSV file completely and attach it in the booking portal.

What is e-commerce ready and how do I know if my items are suitable?

E-commerce ready means that upon arrival at our warehouse, the item is ready to be shipped to the customer immediately. All items offered must be delivered in suitable packaging and bear the appropriate labels and barcodes. For more information, please see our operational annex.

What is failure and how can I prevent it?

Failure means that goods cannot be placed directly into stock due to a physical or administrative deficiency or discrepancy. This can be prevented by delivering goods according to our guidelines. About half of all failures occur because the packaging of an item is not e-commerce ready.

What if I cannot deliver my items e-commerce ready?

If you cannot deliver your items e-commerce-ready or a digital submission is not possible, the shipment will be processed by our Value Added Service (VAS) department. There are costs associated with this. Click here for our VAS tariffs.

Do I have to deliver my entire PO in one go?

It is possible to ship a PO in multiple deliveries. However, please ensure that you state the correct numbers of the actual goods sent in the digital submission. Should you encounter delivery problems, contact your WRG contact person to adjust the PO. This facilitates quick processing of invoices and goods.

Why do I receive a VAS invoice while not submitting via VAS?

If, upon receipt of a shipment, it is found that the shipment contains items that could not be brought directly into stock, we will charge for any Value Added Service operations incurred. Click here for our VAS tariffs.

When can I deliver?

After you have registered your shipment in the booking portal, you will first receive an Application Receipt Confirmation of your registration. Please note: It is not yet permitted to deliver at this point.

 

As soon as the registration has been processed and approved, you will receive an Appointment Confirmation containing the delivery date, time slot, and ASN number.

 

Is the assigned delivery appointment inconvenient? You can easily request an adjustment of your delivery appointment in the booking portal using the ASN number.

I want to deliver multiple orders at the same time, do I need to register multiple times?

If you want to deliver multiple orders simultaneously to the same department, you only need to submit one registration in the booking portal. Within one registration, you can enter multiple order numbers and add the corresponding packing lists.

What is an ASN number?

An ASN number (always starting with RO) is a unique number that you receive in the appointment confirmation. The number is linked to your registered shipment and our purchase order. You use this number to report to the counter of the arrivals office, after which your shipment can be received.

What is the difference between an ASN number and a registration reference?

An ASN number starts with RO and is a unique number that you must provide to the arrivals office upon delivery. Without this number, the shipment cannot be accepted.

 

A registration reference starts with WRG- and is linked to the registration and the approval process. You do not need to report this number upon delivery.
